What does outsourced accounts payable actually cover?

Receiving vendor invoices, coding them to the right property and GL account, checking that the property has funds available before anything is paid, routing approvals to whoever needs to approve them, scheduling the payment run, and keeping the vendor records and 1099 detail clean behind it. The approval decision stays with you. Everything around it moves to us.

Who approves payments if you handle AP?

You do, on the rule you set. Some clients approve every invoice, some approve above a dollar threshold and let recurring utilities and known vendors flow through, some route by property or by owner. We build the workflow inside your software so the approval trail is recorded where the payment is, not in an email thread.

Do you check that a property can afford a bill before paying it?

Yes, and on trust-held funds this is not optional. An invoice paid from a property with an insufficient balance is one owner's money covering another owner's expense. We verify available funds at the property level before a payment goes out and flag shortfalls to you rather than paying through them.

What does the receivables side include?

Applying tenant receipts to the correct lease and charge, posting rent, late fees, utility rebills, and tenant chargebacks, tracking delinquency so you can see who is behind and by how much, reconciling merchant and lockbox deposits, and preparing the receivable detail that supports owner statements.

Can we outsource only payables, or only receivables?

Yes. Plenty of clients keep receivables in house because their leasing team already touches tenants daily, and hand us payables because invoice coding and payment runs are pure back office. The reverse is just as common. Both can also be folded into a full monthly close.

Which software do you work in?

AppFolio, Yardi, Buildium, Rent Manager, Entrata, RealPage, MRI, and QuickBooks. We take accountant access to your instance and use the AP and AR modules you already own, including automated invoice capture where your platform supports it.
