Real Estate Bookkeeping In South Dakota

The request-driven itemisation encourages a specific failure: settle the money fast, never build the file, then construct an explanation six weeks later for a deduction taken at move-out. Sioux Falls runs that at volume. Rapid City's tourism demand produces short lettings with rapid turnover and frequent over-reading of the agreed-larger-deposit exception. Aberdeen's small portfolios see the deadline so rarely that no process forms around it.

What South Dakota Law Changes About Your Books

Deposit Handling and Trust Requirements

Trust and deposit rules are set state by state, and they change the accounting itself, not just the paperwork around it. A deadline is a ledger requirement: you cannot return a deposit inside a statutory window if the ledger cannot say what is owed.

Security deposits

South Dakota splits the obligation into two events on very different clocks. The deposit is returned within TWO WEEKS of the tenant moving out, among the shortest payment deadlines anywhere. A written itemised accounting of deductions is only required if the TENANT REQUESTS it, and then within 45 days of that request, among the longest. Payment and explanation are triggered by different events.

Trust and segregation

The cap is one month's rent, with a larger amount permitted by AGREEMENT where special conditions pose a danger to maintenance of the premises. That is a narrow permission, not a general licence to charge more for a tenancy considered risky, and the agreement itself does not cure a misuse of it, so the specific condition relied upon belongs in the record alongside the amount.

What we do about it

  • Deposit liabilities tracked per tenant, so a 2 weeks to return, 45 days to itemise on request deadline is answerable from the ledger
  • Trust accounts reconciled three ways, including every beneficiary balance
  • Deduction documentation recorded against the correct ledger, not filed separately
  • Aging deposits flagged before the statutory window closes

Summary of statutory requirements provided for orientation. It is not legal advice, and local ordinances can impose stricter rules than the state minimum.

We work with property managers and investors across all of South Dakota, all 365 cities and towns of it. The markets below are the ones we publish South Dakota-specific detail for. If yours is not listed, the same team and the same SDCL 43-32-6.1 rules still apply.

Sioux Falls

South Dakota splits the obligation into two events with very different timescales: the money comes back in two weeks, but the explanation only has to follow if the tenant asks for it.

Rapid City

South Dakota allows a deposit above the one-month cap by agreement where special conditions pose a danger to maintenance of the premises, which is a narrow permission that tourism-adjacent portfolios frequently over-read.

Bookkeeping by platform

Aberdeen

Aberdeen's rental market runs on small portfolios and long tenancies, where a two-week return deadline arrives rarely enough that no process ever forms around it.

Client story

Onboarding and responsiveness

Real Estate Accounting truly is a special company. They helped as if they were a part of our company, with the concern and caution as an employee would have, but even more. They quickly ascertained our needs and developed an effective team to help with our accounting needs. They were extremely responsive and always accurate. I would recommend their services to anyone who needs help with their property management accounting.

Smaller portfolio, still looked after

Adam the owner took a personal interest in my situation and was willing to work with me to see if his company was a good fit. I may be too small for them but I would highly recommend them to anyone considering a bookkeeper for their property management business.

Came from a bookkeeper who did not know real estate

Following a series of erroneous financials from my previous bookkeeper, who lacked expertise in real estate, it's been truly remarkable to receive not only accurate financials on a consistent basis but also proactive advice without prompting. The REA team is a game-changer in real estate accounting!
